Job Role

  • Handle resident enquiries and concerns via phone and email. 
  • Arrange and oversee maintenance works and coordinate with contractors. 
  • Assist in preparing service charge budgets 
  • Conduct site visits to identify and report maintenance issues via Snap Fix (maintenance app), action these issues once you return to the office. 
  • Complete Section 20 notices for major refurbishment projects, ensuring compliance with legal requirements.
  • Review CCTV footage to gather evidence for incidents on site. 
  • Allocate different jobs to caretakers / concierges based on site. 
  • Save all reports from contractors to the specific site folder, check if any further works are needed and action if necessary. 
  • Order necessary items for on-site staff, including work wear, from v6arious suppliers and verify receipt of these items.
  • Interview concierges / caretakers for various sites.
  • Prepare management packs (LPE1) for leaseholders that wish to sell their properties. 
  • Obtain quotes for any works needed on site as well as obtaining quotes for contracts for various sites e.g. gardening / cleaning 
  • Attend meetings with resident’s associations to discuss property management matters and concerns. 
  • Prepare and post notices regarding ongoing works in communal areas to ensure all residents are informed in advance. 
  • Compose and distribute email notifications to leaseholders, detailing upcoming site activities and maintenance schedules.
  • Approve payments and sign off invoices to confirm works have been completed.
  • Coordinate with fire safety consultants to book in fire risk assessments and address any issues identified. 

Person Specifications

  • At least 2 years of experience in a Property Management
  • Proficiency in Microsoft Office and IT systems. 
  • Dedication and strong work ethics.
  • Good interpersonal skills, dealing with a variety of stakeholders, leaseholders etc.
  • Driving Licence preferred.

The successful candidate will have excellent organisational skills, and the ability to priorities tasks and manage their own workload. This role requires an individual with the ability to communicate and deal with others at all levels in a polite, professional, friendly and helpful manner, both face to face and on the telephone.

Salary dependent on experience.
